A solution that automates the verification and retrieval of contractor data from the Central Statistical Office (GUS) database via the BIR1 GUS service, integrated with Oracle NetSuite. The system automatically downloads and populates the registration data of companies when creating new contractor records in NetSuite, both for customers and suppliers. This solution supports due diligence in the verification of business partners and automates the process of entering contractor data.
By automating the retrieval and verification of data from the GUS database, the solution streamlines the process of contractor creation in Oracle NetSuite, ensuring data accuracy, time savings, and compliance with due diligence requirements.
Defining a contractor in the NetSuite database involves selecting the type of contractor (Customer or Supplier) during registration in the system. The user can review and edit the data before saving it, with the option to add information that is not stored in the REGON database.
After entering the VAT identification number (NIP) on the dedicated screen, the system connects to the REGON database via the BIR1 service and automatically retrieves the complete registration data of the company. The retrieved information is automatically mapped to the corresponding fields in NetSuite, with the option for verification and supplementation before final saving. The system allows for flexible creation of profiles for both customers and suppliers.
Verification of contractors in the GUS is not a legal requirement for the proper functioning of a Client in the Polish market. The Ministry of Finance allows taxpayers to obtain a complete set of contractor data based on the Law of March 6, 2018, on the Central Register and Information on Economic Activity and the Entrepreneur Information Point.
